Builders quote template (UK): stages, provisional sums and exclusions
Building jobs are bigger and longer than most trades, so the quote does more work: it sets the stage payments, says what happens with unknowns, and heads off arguments before they start.

Structure your quote in stages
Break the work down the way you will build it: groundworks, substructure, superstructure, roof, first fix, plastering, second fix and finishes. Customers understand it better, and it gives you a natural point to invoice each stage.
Provisional sums and prime cost items
When you can’t know the cost yet, for example the kitchen the customer hasn’t chosen, include a provisional sum and say so in writing. Agree that it will be adjusted to the actual cost. This keeps the fixed part of your quote fixed.
Exclusions that save arguments
- Planning, building control fees and party wall matters, unless you are handling them.
- Unforeseen ground conditions, drainage diversions or asbestos.
- Decorating, flooring and skip permits if they are not yours.
VAT and payment terms
If you are VAT registered, show VAT at the correct rate and your VAT number. Set out the deposit, the stage payments and the due date for each. For larger jobs it is normal to agree a written contract alongside the quote.
Price it from your real costs
Add materials with waste, labour days per stage, plant and skip hire, subcontractors with your markup, and an overhead share. Check the margin before you send. The free Job Price Calculator does one job at a time; the Trades Business Kit keeps a price list of up to 300 items with your markup, builds the estimate from it, and tracks actual vs. quoted profit on every job.
FAQ
Should I give a quote or an estimate?
A quote is usually treated as a fixed price for the work described. Where parts are genuinely unknown, use provisional sums inside the quote rather than calling the whole thing an estimate.
Can I add a deposit?
Yes. The estimate and invoice calculate deposit, balance due and due date.
Will it work on a phone?
The files work in Excel and Google Sheets. Google Sheets opens on a phone, though entering a full quote is easier on a laptop or tablet.
