What a UK invoice needs
- A unique, sequential invoice number and the invoice date.
- Your business name and address, and the customer’s name and address.
- A clear description of the work: “Replace consumer unit, issue Electrical Installation Certificate”, “EICR, 3-bed house, 12 circuits”.
- The amount due and the payment due date. If you are VAT registered: your VAT number, the VAT rate and VAT amount per line.
- If you trade as a limited company: the company name, number and registered office.
Billing typical electrical work
Certificates and notifications. If your quote included Part P notification or the certificate, put it on the invoice as its own line so the customer can see it was delivered.
Staged jobs. For a rewire or extension first fix, invoice a deposit, then first fix, then second fix. Each invoice should show what has already been paid and what is still due.
Variations. Extra sockets or a moved light point added on the day go on as separate lines, ideally agreed in writing before you do them.
Getting paid on time
Put your bank details and a due date (7 or 14 days is common for domestic work) on every invoice. Keep a simple log of invoices with a status column that flips to Overdue after the due date, and chase on the first day, politely. For business customers you are also entitled to statutory interest on late payments.
From estimate to invoice without retyping
If you already sent an estimate, the invoice should reuse the same lines. In the Trades Business Kit the invoice copies from the estimate with one switch, and the job tracker shows which invoices are still open. Only need the paperwork? The Estimate & Invoice Template is the smaller option.
FAQ
Is there a legal format for an invoice?
There is no single mandatory layout, but the invoice should clearly show who you are, who it is for, what was done, the amount and the date. VAT-registered businesses must also show the VAT details listed above.
Can I save the invoice as a PDF?
Yes. Print or save as PDF straight from Excel or Google Sheets and email it to the customer.
Does it need macros?
No. The templates use normal formulas, with no macros or add-ons.
