Quote template for plumbers (UK): what to include and how to price it
A clear written quote wins more plumbing jobs than a price given on the doorstep, and it protects you when the customer later says “I thought that included the radiator”.

What every plumbing quote should show
- Your details: trading name, address, phone, email and, if you are a limited company, your company number and registered office.
- Customer and site address, plus a quote number and date so you can find it again.
- Scope in plain words: “Remove existing basin, supply and fit new basin and pillar taps, connect to existing pipework”. List what is not included, such as making good tiles or decorating.
- Parts and labour on separate lines, so a customer who wants to supply their own taps can see the difference.
- VAT: only charge it if you are VAT registered, and then show it separately at 20% with your VAT number.
- Valid-until date (30 days is common, because copper and boiler prices move) and your payment terms, including any deposit.
Quote or estimate?
In the UK a quote is generally read as a fixed price for the work described, while an estimate is an informed guess. If there is a real unknown, like what is behind a boxed-in soil stack, say so and price that part as an estimate or as a separate option.
Pricing the job so it actually pays
Add up materials (with a small allowance for fittings you always end up needing), your hours times your real hourly cost, and a share of your overheads: van, fuel, insurance, tools and Gas Safe registration if you do gas work. Then add your margin on top. Remember that a 25% markup is not a 25% margin; it is 20%. Our free Job Price Calculator shows both before you send a price.
Send it the same day
Customers often ask two or three plumbers. The one who sends a tidy PDF quote that evening usually gets the reply. A template that fills the totals, VAT and deposit for you makes that a five-minute job instead of an evening one.
FAQ
Do I have to charge VAT on my plumbing quotes?
Only if you are VAT registered. Registration becomes compulsory when your VAT-taxable turnover goes over the threshold (currently £90,000 over 12 months). If you are not registered, do not add VAT.
Can I turn the quote into an invoice?
Yes. In the Trades Business Kit you set “Copy from Estimate” to Yes and the client and lines move across to the invoice, with deposit paid and balance due worked out.
Does it work in pounds?
Yes. The Kit has GBP, EUR, USD, AUD and CAD options and works in Excel and Google Sheets.
